Information we collect
- Account information: your name, work email address, password, and your agency's name, phone number, staffing type and clinician count.
- Clinician information your agency enters: names, professions, contact details, license numbers, and the credentials, expiration dates and supporting documents (PDFs or photos) your agency uploads.
- Document review records: who verified or rejected a document, how it was checked, notes, and when.
- Portal information: emails invited to the client portal, and records of sign-in links sent.
- Billing information: your plan and subscription status. Card details are collected and stored by our payment processor (Stripe); we do not receive or store full card numbers.
- Demo and sign-up requests: the name, work email, agency name, phone number, clinician count and message you submit through a demo or plan sign-up form.
- Usage data: basic activity records inside the app, such as when a clinician is added or a document is uploaded.
How we use information
We use the information we collect to operate and improve Credentialing Check. Specifically, we use it to:
- Create and manage your agency account and team members.
- Track credential expiration dates and send renewal reminders to clinicians and agency contacts.
- Let clinicians sign in to their own portal and update their documents.
- Let client organizations (hospitals and clinics) you invite view the clinicians you share with them.
- Process payments and manage subscriptions.
- Respond to demo requests and support questions.
- Send service emails such as sign-in links, alerts and account notices.
Sharing of information
We do not sell your information. We share it only with:
- Service providers that help us run the service: cloud database and hosting, email delivery, payment processing (Stripe), and the AI provider used for the optional credential text auto-fill feature.
- Your own team members, clinicians you invite to the clinician portal, and client organizations you invite to the client portal, each with only the access you grant them.
- Authorities where required by law.
Document storage and access
Credential documents are stored in private storage and can only be opened through short-lived, expiring links by people with permission to see them: your agency team, and client organizations only when you allow downloads. Clinicians can upload documents but cannot download them.
Data retention
We keep your agency's data for as long as your account is active. If you ask us to delete your agency account, we will delete its clinicians, credentials and documents, except where we must keep certain records for legal or billing reasons.
Your choices
- Agency owners can update or remove team members, clinicians and documents at any time from the app.
- Clinicians can request changes to their contact details or ask us to remove their record by contacting their agency or us.
- You can turn reminder emails on or off in Settings.
- You can ask us to export or delete your agency's data by emailing us.
Security
All traffic to credentialingcheck.com is encrypted in transit. Access to stored data is limited to authorized personnel and to the people your agency grants access. No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security.
Children's information
Credentialing Check is intended for healthcare staffing and credentialing professionals. It is not directed at children, and we do not knowingly collect information from children.
Changes to this policy
We may update this Privacy Policy as the service changes. When we make material changes, we will update the date at the top of this page.
