Terms of Service

Accounts

• You must provide accurate information when creating an account and keep it up to date.
• You are responsible for keeping your sign-in credentials safe and for activity that happens under your account.
• Agency owners and admins are responsible for the team members they invite and for the clinicians, documents and portal invitations they add.

Subscriptions, plans and billing

• Paid plans are billed monthly through our payment processor, Stripe. Prices are shown on the pricing page.
• Each plan includes a limit on the number of clinicians you can track. Exceeding your plan's limit requires an upgrade.
• Subscriptions renew automatically each month until cancelled.
• You can cancel or change your plan at any time from the billing page. Cancellation takes effect at the end of the current billing period.
• The Free plan is limited to 5 clinicians and may change over time.

Your data

• You retain ownership of the clinicians, credentials and documents you add to Credentialing Check.
• You grant us permission to store and process that data as needed to provide the service, including sending expiration reminders you configure.
• You are responsible for making sure you have the right to upload the documents you upload and to share clinician information with the team members and client organizations you invite.

Acceptable use

You agree not to:

• Use the service to store or share unlawful content, or content you are not authorized to hold.
• Upload documents containing malicious software.
• Attempt to access other agencies' data, other clinicians' files, or parts of the service you do not have permission to use.
• Share your client portal or clinician portal access outside your organization.
• Reverse engineer, scrape or resell the service.

What Credentialing Check does and does not do

Credentialing Check is a tracking and reminder tool. It helps your team record credentials, review uploaded documents, track expiration dates and send reminders.

• The service does not verify credentials against licensing boards or registries. Verification recorded in the app reflects checks performed by your own team.
• The service is not a legal, compliance or medical advice service, and it does not decide who is qualified to work.
• The optional AI auto-fill feature reads the text you paste to suggest a credential type and expiration date. Suggestions can be wrong; you confirm them before saving.

Client and clinician portals

• Client portal access is granted only to email addresses you invite, and only for the clinicians you share. You control downloads per client.
• Clinician portal access is granted by email invitation. Clinicians can upload documents; they cannot download them.
• Removing a client, a person or a shared clinician takes effect immediately.

Service availability and changes

We work to keep Credentialing Check available, but we do not promise uninterrupted service. We may add, change or discontinue features, and we may suspend accounts that violate these terms.

Cancellation and termination

You may cancel your subscription or delete your account at any time. When your account is deleted, we will delete your agency's clinicians, credentials and documents as described in the Privacy Policy.

Disclaimer and limitation of liability

The service is provided "as is" without warranties of any kind. To the fullest extent permitted by law, Credentialing Check is not liable for missed renewals, expired credentials, compliance failures or any indirect or consequential damages arising from your use of the service. The service is a tool to support your credentialing process; the responsibility for verifying credentials and maintaining compliance stays with your agency.

Changes to these terms

We may update these terms as the service evolves. Material changes will be reflected in the date at the top of this page, and continued use of the service after changes take effect means you accept the updated terms.
